Gather Collaboration Materials
When routing for UW approval, include subcontract documentation in proposal packages. (Original subcontract copy, with signed face page, goes to OSP).
Subcontract
- Face Page signed by subcontract organization's institutional official.
- Detailed year-by-year budget and budget justification.
- Statement of Work (this should be extensive enough -- typically about 1.5 pages or more -- to specify what will be provided in return for payment).
- If applicable (and application is not NIH), human subjects, animal use, or environmental approvals from the subcontract organization.
- Biosketches of all key personnel.
- Resources page.
- Checklist or other documentation of yearly direct costs, F&A costs, and total costs.
- Additional documentation that may be required by the sponsor.
Primary Proposal
- Include subcontract site in list of performance sites.
- Include subcontract key personnel in list of key personnel.
- Ensure subcontract F&A costs are handled appropriately in the primary budget. (Instructions vary by sponsor; for NIH, subcontract F&A costs are considered part of Total Direct Costs, but they do not apply to the yearly limit on direct costs.)
- When applying F&A to the primary budget, the MTDC cost base should include only the first $25K of each subcontract budget.
- For modular budgets, round yearly subcontract direct costs to the nearest $1000. Justify the subcontract amount and indicate the indirect rate and F&A amount.
- Except in the case of modular budgets, include subcontract face page, statement of work, budget pages, and checklist as a self-contained section within the primary proposal.
- Include biosketches of subcontract key personnel with primary application biosketches, alphabetically after PI.
Biosketches for Key Personnel
Biosketches of all key personnel, including those on subcontract(s), are arranged alphabetically after the PI's biosketch.
Note: A growing number of faculty are maintaining and distributing copies of biosketches using the Community of Science web. This resource promotes communication between researchers and can be used to ensure that the most recent copy of your biosketch is available to collaborators.
Letters of Support
NIH requires letters of support from unpaid personnel (mentors or other significant contributors) as well as consultants.
For Grants.gov applications, these letters are scanned and inserted into the application as .pdf attachments.
